We are looking for a hands-on and organized HR & Admin Executive to support day-to-day HR operations and office administration.
The successful candidate will act as a local point of contact for employees, providing support on general HR matters, onboarding and offboarding, employee engagement, and workplace administration. This role will work closely with the central HR team to ensure smooth and consistent HR and administrative operations. This is a hands-on role in a small team environment, requiring someone who is comfortable managing a broad range of HR and administrative responsibilities independently.**
What you will be responsible for: **
HR Operations & Employee Support**
● Support recruitment activities, including candidate sourcing, interview coordination, and other hiring-related administrative tasks as required.
● Act as the first point of contact for employees on day-to-day HR and administrative matters.
● Support employees with general HR enquiries and coordinate with the central HR team when required.
● Maintain accurate employee records and personnel documentation.
● Prepare HR letters, employee documentation, and other HR-related documents as required.
● Support employee onboarding, confirmation, transfer, and offboarding processes.
● Coordinate onboarding and offboarding arrangements, including access, equipment, workspace, and other requirements.
● Ensure HR processes and company policies are properly communicated and implemented. Office & Administrative Support ● Manage day-to-day office administrative activities and ensure smooth office operations. ● Coordinate office supplies, pantry supplies, equipment, access cards, parking, courier services, and other workplace requirements. ● Liaise with building management, contractors, service providers, and external vendors on administrative and facility-related matters. ● Coordinate office maintenance and workplace-related issues. ● Manage administrative purchases, quotations, invoices, and vendor coordination. ● Maintain records of office assets, equipment, contracts, and other administrative documents. ● Support meetings, company visits, events, and other local activities. Employee Engagement ● Organize employee engagement activities, celebrations, and team events. ● Support company-wide HR initiatives and implement them locally. ● Gather employee feedback and escalate relevant concerns to the HR team or management. ● Contribute to a positive and supportive working environment. Other Responsibilities ● Support HR and administrative projects as assigned. ● Assist with internal audits, compliance activities, and documentation when required. ● Work closely with the central HR team to ensure consistency in HR processes and policies. ● Perform other ad hoc HR and administrative duties as required. How you will stand out:
● Diploma or Bachelor's Degree in Human Resources, Business Administration, Management, or a related field.
● 2–5 years of experience in HR, administration, or a similar role.
● Experience in HR operations and office administration.
● Basic understanding of Malaysian employment practices and regulations.
● Strong organizational and coordination skills with good attention to detail.
● Good communication and interpersonal skills.
● Able to work independently and take ownership of day-to-day matters.
● Comfortable working in a small and fast-paced team environment.
● Proficient in Microsoft Office, particularly Word and Excel.
● Experience with HRIS or other HR systems is an advantage.
